Most board packs we see are doorstops. They're too long, too dense, and stuffed with data that doesn't inform a decision. We all know the feeling: weeks of work, only for it to be skimmed at best. This is a common problem, but it is not inevitable.
Start with Purpose
Know your audience. Board members have limited time and specific concerns. They aren't analysts; they are fiduciaries. They need to understand the strategic implications, not every data point. What decisions are they making? What risks are they evaluating?
Every piece of information in the pack should directly support these high-level objectives. If it doesn't, it belongs in an appendix, or better yet, nowhere at all. We've seen packs reduced by 40% just by applying this filter.
Structure for Impact
- **Executive Summary First:** It's not a table of contents. It's the critical takeaways, decisions needed, and key performance indicators. This should fit on one page. Seriously, one page. It's their first and sometimes only stop.
- **Keep Sections Brief:** Each section should address a specific area, like finance, operations, or growth. Limit each section to 2-3 pages. Use clear headings and subheadings.
- **Data Visualizations Over Tables:** A well-designed chart conveys more information faster than a dense table. Line charts for trends, bar charts for comparisons. Label everything clearly. Remove unnecessary gridlines and borders.
The Right Level of Detail
We frequently hear complaints about too much detail. Board members want the 'so what'. Your job is to provide that. Explain anomalies. Highlight significant trends. Propose clear next steps.
- Don't dump raw data. Present insights.
- Don't hide bad news. Present it clearly, with context and proposed solutions. We advised one client to explicitly dedicate a slide to 'Key Challenges' and they received positive feedback.
Appendices are for deep dives. If a board member wants to drill into the regional sales figures for Q2, that's what the appendix is for. Don't clutter the main pack with it. Reference the appendix when necessary.
Making your board pack useful isn't rocket science. It requires discipline and a fundamental shift in perspective. Focus on what the board needs to know, not everything you know. This approach saves time for everyone involved, and more importantly, leads to better decisions.
